Description of Position Duties: 


Under the general direction of the Executive Director (ED), the Chorus Administrator will provide administrative and clerical support to the whole organization including paid and volunteer staff, the Board of Directors, committee chairpersons, and section leaders.   This position is also the primary customer service contact for chorus members.  These duties require a high degree of initiative, independence, and professionalism in order to complete tasks with minimal supervision.  


- Perform administrative and clerical duties including, but not limited to maintaining chorus record keeping systems, including databases, mailing lists, and filing systems.  Direct incoming correspondence to the appropriate staff or board members.  Compose responses to written and oral communication including internal and external email correspondence with tact and diplomacy.  Act as administrator of Chorus Connection and ensure content is accurate, up to date, and available to members timely.

- Maintain congruence of events on all SGMC calendars ensuring that members have accurate and consistent information available on our multiple platforms including our website, social media, and any paper handouts given to members.

- Maintain box office hours both before and during all season shows.  Manage distribution of printed tickets and accurate accounting of types of tickets.  Aid in managing fundraising efforts during shows and handle cash and payments related to show activities.

- Act as the designated point person for the member services table during chorus rehearsals providing tracking of attendance, dues, costume purchases, and deposit preparation.  Conduct SGMC membership email outreach communicating with members regarding missed rehearsals, dues that are in arrears, and upcoming event reminders with accurate details.

- Aid in the preparation of emails promoting ticket sales to our contact lists for our season shows and other ticketed events throughout the year using our Vendini platform.

- Provide committee support as needed to track events or volunteers. Work closely with membership to help with outreach booths and events to help promote SGMC.

- Maintain high standard of privacy and confidentiality required in all aspects of the work and communications of SGMC and its members.

- Manage SGMCs music library and online catalog which includes uploading all music and rehearsal tracks to Chorus Connection and preparing paper copies of music for distribution to singing members throughout the season.

- Conduct a range of financial procedures to support the operations of SGMC, may include reviewing and processing accounts receivable, accounts payable, and receiving payments for services rendered.

- Support fundraising and donations systems by entering new contacts and communications into database, keeping information up to date, tracking donations by members and rapidly acknowledging donations made to SGMC.

- Maintain the organization of our storage spaces so we can easily access items when needed.

- Research and resolve problems.

- Required to attend regularly scheduled,semi-monthly staff meetings and other meetings as directed.

- Perform other duties as assigned.

Description of Position Qualifications: 


- To perform this job successfully, an individual must be able to execute each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill and or ability required.

- High school diploma, minimum of 2 years general secretarial and/or office management experience; strong knowledge of office procedures, demonstrated ability to prioritize work and perform with little or no supervision, and maintain an atmosphere of good morale within the office.

- Demonstrated desire and sensitivity to work in diverse racial, ethnic, cultural, sexual orientation, gender identity, and religious settings with commitment to diversity in the workplace.

- Commitment to working in a team environment.

- Ability to edit materials and apply excellent proofreading skills.

- Demonstrated ability working in all aspects of Gmail, Google Drive, Google Docs, and Google Sheets.

- An understanding of automated financial recording and tracking systems and basic bookkeeping.

- Flexibility of work schedule required, hours will vary.
